When to Do the Reconciliation

You will need to reconcile all new bookings before the due date, as described in the message on the page.



How to Access the Bookings Ready for Reconciliation

To identify bookings ready for reconciliation from the previous months, you have three options.


Go to the Bookings page and use the Ready for reconciliation status filter along with the previous month check-out date filter.


On the 1st of each month, we will send you a reminder email for reconciliation. Simply click on Reconcile now in the email to access the relevant bookings directly on the Bookings page.

You can also find the current number of bookings ready for reconciliation on the Marketing Goal page.

Note:
We suggest reconciling bookings as soon as possible to prevent the system from automatically marking all bookings as Stayed after the due date.


How to do the reconciliation for each booking

Edit a Booking

By clicking on the Reconcile link on the column of the Action, you will be able to edit the below information of the booking:

  • Booking Status

  • Check-in date

  • Check-out date

  • Booking Revenue(Booked Currency)

  • Booked Currency

  • Rooms

  • Guests

  • Rate Plan Code


There are 4 options available in the Booking Status field:

  • Stayed

  • Canceled

  • Canceled-penalty

  • No-show

Note:
Stayed and Canceled-penalty bookings with Booking Revenue are crucial for commission calculations. Therefore, it is essential to ensure that the Booking Status and Booking Revenue (Booked Currency) fields are accurately updated to reflect the status in your hotel system.


Edit Multiple Bookings

Step 1: Click Bulk Update

  • In addition to editing cells on the list, you can utilize the bulk upload tool to edit bookings in bulk.

Step 2: Download Bookings and Uploard File for Update

  • By clicking the Bulk Update button, a pop-up window will appear with instructions on downloading the bookings, updating the booking status along with other information, and then uploading the file.
Tips on updating the booking file:
  • Verify that the Booking Status is valid and matches one of the four options on the page:

    • Stayed
    • Canceled
    • Canceled-penalty
    • No-show
  • Double-check if the date format has been automatically adjusted by Excel and ensure it aligns with the date format specified in the column header.


Step 3: Wait for System Processing and Refreshing

After updating, the system will take several minutes to process the result, during which the column will be locked, displaying a clock icon next to the record awaiting update. The data will be refreshed once the sync process is complete, which may affect sorting and filtering.
